The system

Who is in, who is late, who is missing — on one screen

The home screen is ordered by urgency: first what needs a decision today, then the numbers of the day. It refreshes on its own, and each manager sees only their own people.

The TimeFlow interface. Names and figures are fictitious.
One working day

From an entrance check-in to a finished timesheet

Every check-in is compared with the employee’s own schedule: a lecturer starts at 8:30, security works one day in four, and lateness is judged for each of them separately.

  1. 08:28

    ArrivalPresent

The terminal at the main building entrance recognises the employee. The manager sees the record within the same minute.

  2. 08:41

    Late arrivalExplanation needed

An employee arrives after the scheduled start and receives a notification asking for an explanation — in the personal portal or the Telegram bot.

  3. 12:00

    Who is at work

The head of department opens the list: who is inside, who has not arrived as scheduled, who has already left.

  4. 17:34

    Departure

Hours for the day are counted from actual records. If a departure is missed, the shift closes automatically under the organisation’s rules.

  5. 31.10

    Monthly timesheet

Hours for every employee export to Excel; late arrivals and absences come as separate reports.

Features

Six questions the system answers every day

Not a list of modules, but answers for administration, HR, department heads and the staff themselves.

01

Who is here right now?

Live attendance across buildings and departments: who arrived, who is expected by the schedule, who has left.

02

Who needs follow-up?

Late arrivals, absences, early departures and missing check-outs in one list, together with staff explanations.

03

What is the plan?

Shift types, each employee’s schedule by date and weekly department templates. Night shifts may cross midnight.

04

What goes into the timesheet?

First arrival, last departure and hours for every day. Timesheets and reports export to Excel and CSV.

05

Who manages what?

Roles scoped to a department, a building or the whole organisation. A head of department sees their department.

06

How do staff take part?

Check-in at a terminal, kiosk or phone, and a personal portal with attendance, schedule, explanations and notifications.

Check-in

Check in wherever it suits

Methods combine: a terminal at the main entrance, a kiosk in a smaller building, a phone for people who work off-site.

Hikvision

Face-recognition terminal

Hikvision terminals at the entrances: an employee walks past and the record is already in the system. Terminals on a local network connect through the Desktop connector.

Works offline

Kiosk

A tablet or computer with a camera at the door. Without internet it keeps recognising staff and uploads the records when the connection returns.

When enabled

Phone

The mobile app or a QR code at the entrance. Check-in with camera and location — within the place your organisation has defined.

For organisations

Several buildings. One picture.

A university, a college or a company with branches: buildings become places, departments and services become groups, and each manager’s rights stay within their scope.

One campus model

Places for buildings and entrances, groups for departments, dean’s offices and services. Reports work across any slice.

Flexible entrances

Terminal access is granted to a whole group or to an individual — for staff who work across several buildings.

Local responsibility

A group or place manager works with their own people; the full picture is for those it has been opened to.

A separate system per organisation

Its own database and its own address. Staff data never mixes with other organisations’ data.

For example, a mathematics lecturer belongs to a department in the main academic building and has separate access to the laboratory entrance. The head of department sees the team; administration sees the whole university.

For staff

Everyone’s working day, on their own phone

The personal portal opens in the mobile app and in a browser. Checking your hours and schedule no longer takes a call to HR.

Attendance and schedule
Records for the day and the month, hours worked, shifts for the coming days.
Phone check-in
With camera and location — when the organisation has enabled self-service.
Explanations
A deviation is visible at once; the explanation is written in the portal or the Telegram bot before the deadline.
Reminders
About a late start, a changed shift and when to check out — in Telegram and push notifications.

Get started

Start with one building

A pilot in one department shows the whole workflow — with your people and your schedules.

  1. 01

    Choose the first building

A department, a check-in method and the staff who take part in the pilot.

  2. 02

    Set the rules

Time zone, schedules, late tolerance, terminal access and what happens to a missed check-out.

  3. 03

    Work as usual

Staff check in and use the portal; managers review the exceptions.

  4. 04

    Review the result

A timesheet for the period, one missing event investigated, manager access and an export.
